There are great a things happening at the Burbank Library on December 10th. The Library hours are going to be from 2 pm-7 pm. This is a change in the regular scheduled hours.

From 3 pm-5 pm the Friends' activities include a Pot Luck, Children's Games, Silent Auction, Door Prizes, Raffles, Baked Goods, and Awards. The group will also be electing new officers for the 2012 year. The bookmark contest winners will also be announced.

All funds raised during the event go towards supporting the Burbank Library's programs and special projects.

Meeting Minutes September 20, 2011

Call to order @ 1pm.

Members present: Betty, Gloria, Kim and Virginia G.

Minutes were not approved for August.

Treasure reported a balance of $10,833.05.

The group discussed the Dolly Parton Imagination Library project. Virginia G. had made invoices and those helped in receiving funds from the Sunrise Rotary and the Elementary PTO. The group also discussed ways to increase the enrollment such as attending football games or the fire station parade. Virginia said she would contact Chelsea with the ideas.

The bylaw update was tabled.

The group discussed different options for the annual meeting. The annual meeting date was set for December 10^th. The group would like to do a day of baking cookies for the day and would like the event to continue as a potluck. The group decided that instead of doing an auction where items would be solicited from businesses that the group would ask members and patrons to donate themed baskets. These baskets then would be won on a silent bid. Baskets need to be at the Library by Nov.15^th. Then photos would be taken and a display would be made with the photos of the baskets with an envelope for silent bidding. The group discussed participating in the Cable Bridge Run, December 17^th, as a fundraiser. The group decided that they would each recruit a team to run. The cost of the run is $12 without a shirt and $17 with a shirt. The group decided not to purchase Friends’ shirts for the runners but maybe come up with an idea such as a Santa hat for each runner.

Virginia is to check with Ana about what type of banner, for advertisement, the Library needs.

Friends discussed their appreciation of the summer reading program and decided that the Pacific Science Center was a great activity and that they were happy to have sponsored it.

It was discussed that Virginia S. would help in the sorting of the donated books.

Virginia announced about the bazaar at the Grange. It is October 22^nd from 904 pm. Tables are $15, lunch is $5. Call Betty L or Sherri M. for more information. The Friends decided not to participate.

Friends of the Burbank Community Library

Meeting Minutes/ August 2011

Called to order at 3:00PM.

Members in attendance: Betty, Jill, Virginia G., Gloria, Virginia 5., Kim

Thank you to Virginia 5. who graciously allowed us to meet at her house for an impromptu lunch (Yum!) along with our meeting!

Kim moved to approve July's minutes and Virginia 5. seconded the approval. There was no treasurer's report available at the time of the meeting. Bylaw Updates were discussed and tabled until next meeting as there was no final decision made. Fundraising ideas were discussed and all were in agreement that the Cable Bridge Run was well received and should be done again this year. We are hoping to get the word out sooner so that we have more people participate. Betty gave the information that it appears we will be going with signs on wires for about $25/pc instead of the flags as originally thought, for the banner.

The end of the Summer Reading Program is the 20^th and there will be a potluck dinner at the library.

It was brought to our attention that due to overcrowding at the Library, there will not be room for the storage of donated books any longer. We will look for the phone number for the lady that Virginia G. talked to last year, who was willing to take any donated books, and see if that is still a possibility. We will also look into the possibility of taking turns picking up the donations and keeping smaller amounts in a variety of locations, so that one member does not have to make room in their home for a large amount of boxes/bags. The general concern is that if the Library stops taking book donations that we will lose the opportunity to get future book donations when needed for a sale, etc. This will be discussed again at the next meeting.

The manager of the Library, Ana, was not here to give her report in person, but did send a letter with Virginia G.

July 12, 2011

Meeting was called to order at 8:00 pm.

Members in attendance were Betty, Gloria, Virginia G and Virginia S.

The June Minutes were approved.

The Treasurer reported that there was $9,772.78

The enrollment is now up to 45 children. Virginia G. is asking Chelsea to be able to view the children are registered. The invoices are coming in through email and are due by the 10^th of the month.

In Article III- Membership & Dues the words adult, student were changed in individual and corporate was changes to super friend.

Betty will check into the different banners this month and Virginia will talk to Ana about what is wanted.

The group discussed having an earlier meeting in August and decided at 3 pm at Virginia Sinclair’s house.

Next meeting will be August 9^th, 2011.

June 14, 2011

Meeting was called to order at 7:05 pm.

Members in attendance were Betty, Gloria, Jill, Virginia G and Virginia S.

The May Minutes were approved. Still need Nov.

The Treasurer reported that there was $10,173.30. The lobby sales were $32.

There were 15 children that signed up for the Dolly Parton Imagination Library during the BBQ. We did run out of items for the games and it was a little chaotic. We need to have more that two volunteers.

The book bags arrived and are now available for purchase for $4.

There were no updates made to the bylaws on Article II.

The group discussed fundraising since Famous Dave’s offered do a fund raiser but the Friends would prefer to have one at Road 68 if it is going to be a restaurant.

Betty will look into the banners this month

There will be times that the summer reading program may need volunteers and it would be nice for the Friends to attend.

Next meeting will be July 12^th.

Meeting Minutes

May 10, 2011

Meeting was called to order at 7:09 pm.

The April Minutes were approved. Still need Nov.

The Treasurer reported that there was $10,528.57. The lobby sales were $35, Interest $8.33 and sunshine fund $53.87. Amy Amerein from Dayton came by the Library and purchased the leftover books from the sale. This upped the previous total to $191.13.

Since the kick off was at the school bbq and the group did not need to purchase registration brochures for the Dolly Parton Imagination Library the group decided to go ahead and make a $500 donation to the program.

Thanks to Kim for getting all the gift cards for the Poetry Contest. Since the coffer certificate was not used it can be used for summer reading.

The book bags have not been completed yet.

Virginia shared some nontraditional fundraising ideas that Ana had received at a

conference. The Friends discussed some of the options such as a restaurant fundraiser.

The group updated the bylaws. The group decided that each meeting they would update one section. The first article should include the present address at the Burbank Library.

The school bbq is on Thursday the 19^th. Volunteers are needed.

The group talked about getting signs made to advertise summer reading and then just one with the new logo. Lonnie by Star Rentals is Sign’s by Sue’s daughter.

Jill will bring refreshments for the next meeting.

Meeting Minutes

April 12, 2011

Call to order: 7:10 pm

Members Present: Betty, Gloria, Kim and Jill

The minutes from March were approved with a correction to the Treasure’s report. The October minutes were approved with two typos. Gloria found in her paperwork two dues payments that had never been deposited from 2009. The group decided that these individuals will receive a 2011 membership.

The April Treasurer Report was $10,728.61 without the Poetry prizes deducted. 53.87 in the sunshine fund. The Welch Grant check of $2000 is included. The $100 check from CP Pacific Grain has not been deposited.

No updated news to report on the Dolly Parton Imagination Library.

The March book sale took in $292. It was approved that the rest of the books can be donated to the MLC. The baked goods were a good addition the sale.

Kim had picked up the prizes for the poetry contest. Kim and Virginia S. will be judging the poems.

The book bags have been ordered.

The group approved $400 in summer reading funds, $375 for the Pacific Science Center and also $150 for Wii games. The group tabled Ana’s idea about a staff garden.

Meeting Minutes

March 8, 2011

Meeting Called to order @ 7 pm.

Approval of February meeting minutes with correction of typo on bringing and treasurer report.

Treasure’s Report: Correction on last month’s total of $8,958.11. New amount is $8,857.20 with $24.05 in lobby sales. Balance includes $53.87 in sunshine fund.

Dolly Parton Imagination Library Grant update included a report of $1,000 from the Sunrise Rotary. Virginia was going to contact people who are involved in the DPIL to find out more information on the banking aspect.

Book Sale is March 18 and 19^th. There is a signup sheet for the shifts. On the 17^th Virginia and Betty will be baking at 2 pm at Virginia’s house. The prices were finalized of $3 for a grocery bag or $5 for a reusable grocery bag.

The Poetry Contest is open and Kim will pick up gift cards for the prices. The judging will be the 14^th and Kim and Virginia S. will be judges.

The Friends discussed equipment that was donated to the Burbank Library and decided that when material and equipment is purchased by the Friends for the Burbank Library it is to be utilized exclusively at the Burbank Library.

The Friends decided that it was okay for members of the Friends to use the Friends’ letterhead to solicit donations for library programs as long as it was approved by the President.

February Meeting Minutes

Meeting Minutes

February 8, 2011

The meeting was called to order at 4:45 p.m.

Members in attendance were Betty, Gloria, Jill and Virginia G.

The January Meeting minutes were approved but the group is still waiting on October-December’s minutes.

Gloria gave the treasurer’s report which was $8,958.16 which included $80.38 of the Staff Sunshine Fund.

Virginia and Betty updated the group on the DPIL program. Since it was tabled at the last meeting it was took off the table and the group decided to fully support the program It was agreed that there need to be an accounting sheet for the program as well as a receipt book. It was approved to have Virginia fill out the application and to speak with Chelsea further about the program. Virginia would also speak with Pam from DPIL about the check from Pacific Grain.

The group thought the kindergarten tour went well. The students were excited and had fun. There were 21 new cards, about half of those did not have a parent who had a current card. The group decided that the extra books be donated to the library to add as well as the school library.

The group spoke about the goals for the year. They decided they would like to be better about bringing refreshments to the meetings, track their volunteer hours. A big priority is to complete the logo and order book bags. Also have a book sale.

The members present decided that they liked the logo with the open book but would prefer the print on the other logo better.

Gloria will bring the refreshments for March.

Meeting Minutes

January 11, 2011

Meeting called to order at 7:20 p.m.

Members present:

The minutes from past meetings were not approved.

Gloria reported that the balance was $8,944.02.

The Friends are holding the check from the Welch Grant. Betty met with Chelsea and Lou about the Dolly Parton Imagination Library project. Lou is very supportive and is willing to coordinate an appearance at the Sunrise Rotary.

The Annual Auction brought in $580.00 which includes memberships paid that day. It was a great afternoon.

Officers were elected based on the votes turned in at the Annual meeting and votes collected afterwards. They are as follows. President: Betty, Vice President: Jill, Secretary: Kim and Treasurer: Gloria.

The kindergarten tour is scheduled for February 4^th at 9 am. Virginia G. will call Gloria for the stamp when the books arrive. Betty and Gloria will volunteer and Virginia G. will call on other Friends to volunteer. The Friends will provide a snack of rice cakes and cream cheese and then a variety of other snacks to decorate them. Betty and Virginia G. will go shopping for these items.

The group talked about the goals for the year and decided they should stay afloat and be healthy. The group talked about using the Cable Bridge Run that is held in December as a fundraiser.

Membership forms were given to those members present that had not paid their dues.

Virginia S. said she would coordinate with Meghan to work through the donated books and items. Virginia G. said she would contact the online book seller again to see when they could pick up books.

The group planned an outing for Gloria’s and Jill’s birthday on January 24^th.

Gloria will bring refreshments for the February meeting.

December 4th 2010
Meeting will begin at 2 pm with auction and potluck beginning at 3 pm.

Here is a list of ways that you can help out the Friends this year.

1.Attend the annual meeting and 2 pm on December 4th, 2010 and the auction at 3 pm at the Burbank Library.

2. Donate an item either by soliciting a donation from a local business, using your talents to create an item, give away a treasure sitting in storage, or by making a gift basket. These items will be used as door prizes, raffle items or auction items. Examples would be a family game night basket, candies in a mug, gift certificates or crocheted scarves. You can also do your gift of dessert, bread, pie, pizza, cookies, etc of the month. These have been a hit every year.

3. Make a dish for the potluck during the auction. Food should be at the Library by 3 pm on the 4th. Finger foods, desserts, veggie and fruit trays are great!

4. Bake cookies or candies for a Christmas Cookie exchange. There will be ten or so different types of goodies to choose from. Guests can make their own assortment and then give a donation to the Friends.

5. Come to the Library at 9 am on the 4th of December to set up for the event.

6. Come to the Library on Tuesday, November 23rd at 5 pm to judge the bookmark contest entries.

This Saturday will include many great activities. Of course there will be a silent auction but there will also be many small raffle items where tickets are purchased then dropped in the basket in front of the raffle item. We will have a chance at $ where one can put a ticket in the bag that hopefully contains the money. We will also have a few mystery gifts. For the children there will be a fishing pond where the kids can use a ticket to fish for a small prize.

There will also be entertainment and a wonderful potluck! Friends can vote for 2010 officers and also the volunteer of the year.

Unfinished Business-
122 children participated in and ½ finished the summer reading program, including 18 adults. 190 books were submitted.
We will be getting a stamp made for us to mark books that we will be giving away for different programs.
We will be getting books to give to each kindergartner for their own. They will have the new stamps in them.
We will be checking on the leftover funds from the chairs purchased for the computer area to possibly add more comfortable furniture seating for a reading area.
Book drop off day is August 17-18 for storage and sorting for the Book Sale. Jill has the sign up schedule for the vendors for the Book Sale, and Laura has the music and entertainment schedule for the Festival.

New Business-

Matt will look into attending the Elementary Open House on 9/15 from 6-7:30. He will let us know if he needs help.

Betty will pick up the pizza for the teen program on Tuesday the 23rd.

Virginia G. will bring sympathy cards for Friends supporters, the Groat and Shoemaker families.

Gloria will bring refreshments for the next meeting.

Meeting Minutes
August 12, 2008

Called to Order at 7:05 pm.
Jill, Betty, Lou, Harold, and Virginia G. in attendance.

Introductions where made with Lou Gates the new superintendent of CSD.

June minutes were approved.

It was reported that there was $9,774.18 in the account but that did not include the United Way check.

Lou shared about himself and his vision about reading. The Friends approved to purchase books for the kindergarten classes so that when they make their class visit to the Library they would get a free book. The Library would provide a program and the Friends would provide refreshments and books. Lou was going to speak with a gal at the ESD to see about a local author that would be appropriate. The Friends would need to get a stamp to stamp the books with stating the donation from the Friends.

Survey results were discussed and it was decided that Harold would check with Punkey about the remainder of the furniture funds that the Friends raised and were matched by the District since comfy furniture was the highest on wants for the Library.

The book sale/festival was discussed and it was decided that we would put an advertisement in the Giant Nickel and put it on the Tri-cities Visitor Center web site. It would also be listed on booksalefinder.com. Virginia said she would get together with Ana to go over the poster and press releases. We also need to get the book donation flier done and email the school faculty about the sale and fiesta. The Food Handler class was tabled since it was decided that the salsa and food would be by potluck.

The Library reported that there were 120 sign ups for summer reading and to date there were 33 finishers.

March 11 2008, Monthly Meeting Minutes

Members present: Andrea, Betty, Gloria, Harold, Virginia G and Virginia S.

Call to Order 7:10 PM

Approval of the February meeting minutes was made with four corrections. The funds left over from the grant are to be used for the replacement of damaged Ingles sin Barreras items. Ana’s name was spelled wrong under the book sale. The Friends approved funds to be used for the poetry contest prizes. The Friends will Join WLA not DOVIA.

Introductions were made to a new Friend, Andrea.

Gloria reported that the Friends currently have $9,777.05. The balance went down because of the Eagle Scout Project check cleared.

The group would like the book sale date to be on September 20th so it does not conflict with Pasco’s Fiery Food Festival. The group wants to support Ana’s efforts and will speak with her again about the date.

Virginia G. passed out the calendar of events for the year.

The Poetry Slam is scheduled for April 3rd. Betty and Gloria will seek prizes for the contest at local businesses. Virginia G. said she would work with the Library for prizes for patrons and poets. Betty will pick up refreshments.

The group discussed the building campaign further. They wanted to double check the Districts timeline. Andrea volunteered to come up with a survey of community wants and needs for the expansion.

Betty reported on the storage search. The Friends feel that they do not need storage primarily for books. It would be for the pop up tents and other large items that the Friends have acquired. Virginia S. will be in charge of the book donations. She will be called by Library staff when a donation arrives and she will maintain the foyer book sale.

Community BBQ is scheduled for May 22nd. The Friends would like to have giveaways and have the survey ready at that time. Virginia S. said she would look through the catalogs that Betty received regarding promotional items.

Summer Reading was tabled until the next meeting.

Harold signed up for goodies for the next meeting.

During a brief sitdown meeting Kim thanked all the Friends for a great year and thanked the group for all of the support they have given her in her two years as an officer.

Virginia went over some duties that needed to be done before the group was ready for the silent auction and refreshments.

During the silent auction friends and patrons gathered to chat while bidding on auction items, viewing a slide show of the years activities and partaking in goodies. Numerous door prizes were handed out.

The Friends presented Punkey with the “Ingles Sin Barreras” set that the Friends were able to purchase through a grant from the Blue Mountain Community Foundation.

Children’s Book Week book mark contest winners were announced and prizes given.

Before the auction ended voting was stopped for officers for 2008 and volunteer of the year.

The silent auction was closed at 4:30 pm. The amount raised from the auction was $649, there was also a $50 donation which brought the total to $699.

The minutes of the October meeting were approved with the correction of Jill and Gloria added to the attendants.

Reports:
Jill updated the group with the treasurer’s report.

Many of the leftover books were sold at the Grange Sale. Members of the Friends also met new perspective Friends, and received some items for the Auction at the Annual Meeting.

The Blue Mountain Community Foundation Grant was received on October 18. Several friends went to receive the Grant money in Walla Walla. They had a nice time meeting others in the area doing services for their communities.

The Bookmark Contest theme this year is “Rise Up Reading”. It will be part of the annual meeting coming up in December. These will be judged on November 29th.

We are looking for people to give us donations for our silent auction and to bring goodies! Some of the Friends members will be contacting other members.

Nominations were made for officers to be voted on at the December meeting. Betty Shackett as President, Jill Bollinger for Vice, Gloria Meloy for Treasurer. Secretary will remain the same for one more year.

The next meeting will be December 8 at 2:00 p.m. and be followed by the annual celebration and auction.

Jill updated the group with the treasurer’s report.

The Book Sale was a great success! We made $440.30 with money still coming in! We are looking for people to take the remainder off our hands! Bookworm will go through and take what they will. Some will go to the Walla Walla bookstore. We still have mystery, romance and bestsellers available!

We received the exciting news that we received the Blue Mountain Community Foundation Grant! We will have representatives present at a reception to accept the check on October 18.

The Bookmark Contest theme this year is “Rise Up Reading”. It will be part of the annual meeting coming up in December.

We are having a planning meeting for the Annual Meeting on October 16 at 6:00 p.m.

Virginia S. will provide the refreshments for the Staff Meeting for November and Jennifer T. will have them for the December meeting.

Kim Dotta will provide refreshments for the November meeting.

We didn’t have an official meeting for August as there were only two people in
attendance!

Reports:
Jill updated the group with the treasurer’s report..

We now have one small canopy, and have purchased two more.

Still researching ideas for the perpetual plaque.

The teens washed the windows and had a pizza party to thank them!

There were 43 finishers of the Summer Reading program. We still have some books to
give away.

The picnic at Hood Park was a success! All who were there enjoyed the good food and
fun entertainment! We will do that again next year!

We will check into having a combined meeting again with the PTO.

We will make an appearance at the Elementary School open house on Monday 9-17.

We are looking for donations of books for the Friends Book Sale in September. The
sale is scheduled for September 28 and 29. We have added to the sale a Farmers
Market and Craft fair for Saturday from 9-12.

Jill will provide refreshments for the October meeting.

Virginia updated the group with the treasurer’s report, as Jill wasn’t present at meeting.

Betty is still checking into getting a canopy or two for our outdoor activities.

The perpetual plaque will be purchased this month to honor those giving to the Friends.

The Dryers grant was denied. We are still waiting on the other grant.

The inside of the windows got washed by the teens, and the outside will be washed soon.

The attendance is down this summer at Summer Reading, and other programs.

The Friends will be putting on a Family BBQ on August 10th at Hood Park. We will be having people sign up to do entertainment at the amphitheater like skits, songs, demonstrations etc. Also to bring food, clean up, prepare etc.

We are thinking of doing another Volunteer Training Program like the Tea we had last fall. It was well attended, and we think others may be interested in participating also.

We are looking for donations of books for the Friends Book Sale in September.

The Staff Dessert will be by Betty S. for August and Virginia S. for September.

Virginia G. will provide refreshments for the August meeting.

After dinner we will all head over to the amphitheater for the campfire presentation. We are looking for all types of talents for the evening. If your family needs ideas on a skit or a song to do ask the staff at the library for help.

Virginia updated the group with the treasurer’s report, as Jill wasn’t present at meeting. Book sale money is still coming in.

Jennie reported on the success of the Concert put on at the school. Not well attended, but very good. Professional musicians, they weren’t disappointed in the turnout. Said they will schedule Burbank in again in the future.

Kim and Virginia G reported that the Community BBQ went well. Having a canopy will make those things much better.

Betty is still checking into getting a canopy or two for our outdoor activities.

Six chairs were purchased from Ikea and we voted to buy 10 more.

The Dryers grant has been submitted and the Blue Mountain Foundation is being worked on.

This Thursday the 14th is Family Game Night, and registration for Summer Reading. Schedules are available in the library for help needed at activities.

As the windows were not washed by the Senior Class, the job will be offered to have the Teen Program kids wash them in exchange for a pizza party!

The Staff Dessert will be by Virginia G. for August and Virginia S. for September.

Kim will provide refreshments for the July meeting.

The Poetry slam went well.

The concert in the park had wonderful, positive reviews. Kids were happy, t-shirts sold for $10.00 each Ray Poland and Sons donated money, and Punky enjoyed it too. People asking for another one!

United Way checks begin in July.

The projector and chairs will be purchased soon, they are being researched now. Harold is also working on a grant from Dryers Ice Cream for the Summer Reading Program.

Punky supports the idea of a plaque in the library. Money to go toward signage for library.

Inland Symphony asking for donations for a concert, Friends will supply refreshments.

Betty offered to research for a canopy for outdoor projects at the library.

Community BBQ set for May 24th. We will have a table.

Jon Rickords gave us information on donations given by Robert Gumm. He would like to donate a nice bench to be placed in memory of his wife.

Jill reported that we have $8424.97 in our account.

We joined the WLA, Washington Library Association. There is a conference coming soon.

The Poetry Slam is coming up on April 12th. The Friends will be providing refreshments.

We discussed the Book Sale for March 23-24. We have some books already, need donations, and need to get together to sort and prepare for the sale. We have about 6 canopies to use, and will be calling Friends to gather support in transporting, sorting and setting up books and tables for the sale. It will be Friday from 10:00 to 4:00 and Saturday from 9:00 to 2:00. We have been allowed to use the garage at the school all next week for sorting and organizing! We spent under $20.00 on advertisements.

The ads are expensive, from $15.00 to $120.00.

Deciding what to do with certificate we received for animal care.

The Tri City Citizen will run information on us if we give the information to them. Lisa Bowers gave us that idea.

Debbie Williams handed out a folder about the Haas Foundation. Anyone knowing anystudent in Junior High or High School with any kind of monetary need, medical,sports costs, etc. can contact www.haasfoundation.org for more information.

A coffee machine was purchased by the library for use by all using the library.

Meeting called to order at 5:40

We reviewed our December meeting/ 10th Anniversary Celebration. At that meeting were many old members, new families, bookmark contest winners, and Friends. In all, about 50 people. Over $600.00 was made on the auction, which will be turned over to the
library; to be matched to purchase much needed chairs for the library. Excellent
speakers, many door prizes, a very successful evening! Virginia is waiting on Pizza
Hut certificates to be mailed for the bookmark contest winners.

Punky won the “Dessert of the Month” at the auction, and donated it to the staff for
their staff meetings! These are held the first Wednesday of the month, and the dessert needs to be enough for 10 people, and arrive before 4:00. So far signed up

We discussed dates for the two book sales for 2007. Decided so far is March 23 and 24,and October.

We discussed again being a part of the Community BBQ at the school, which will be held May 24th. We will have a booth set up, and possibly include more activities this time for the kids.

Combined portion with PTO 6:00 p.m.

Children’s author Jasper Tompkins will be coming to Burbank on Feb 23. There will be an assembly and book sales. The library will post brochures for this also.

The school also has Bingo Feb 2, and Reptile Man March 6 coming up.

Discussed the summer reading program, they will add our theme of “Get a Clue” to their reading program.

Come by the Library and choose an angel from the tree. On the back of each angel is a prize that will be given out during summer reading 2007. If you would like to ensure that a child receives one of these prizes this summer pay the dollar amount to the Friends. Make checks payable to the Friends of the Burbank Library and your donation will be tax deductible. There are also a few angels with a picture of the projector that the Friends recently helped purchase for the Library. Feel free to choose one of these as well; you can specify the amount you would like to give.

Wow! Saturday was such a great day. It was wonderful to see so many people out to support the Library and the Friends. There were over 50 people at the library. There were 35 items in the silent auction and there was close to $600 raised. Betty was voted volunteer of the year! Congrats Betty!!!

Meeting Called to Order at 2:10 PM

Members Present: Punkey Adams, Jill Bolliger, Kim Dotta, Virginia Gutierrez, Gloria Meloy, Betty Shackett, Arlene Shade, Jennifer Tevlin Debbie Williams.

The minutes were approved for November.

Reports:

Jill gave the treasurer report but let the group know that it did not include the $77.98 for the bookmarks. The total was $8,039.87. She switched the account over to a checking account and the checks have arrived.

Virginia G. reported that there was one new member and that the Friends had received two letters from individuals who could not make the celebration and one included a donation of $20.

The annual meeting committee reported to the group about their hard work on pulling together the celebration.

Unfinished Business

Ballots were handed out and picked up from the members.

Virginia G. talked about membership to DOVIA, Volunteer Center, and Washington Library Association, WLA, Membership. After discussion it was moved that the Friends would join both groups. It passed unanimously.

New Business

The group discussed what needed to be done for the celebration and what jobs needed to be filled.

Gloria let the group know that she will be working with the seniors on restoring the school photos. She would like to do that at the library on a Saturday once a month. She will talk to the staff about what day would be best.

Announcements:

The next meeting will be at the elementary at 6 pm on January 9th. Debbie will speak with them about the meeting.

Meeting Minutes

Meeting Called to Order at 7:05 PM

Members Present: Jill, Kim, Virginia, Laura, Betty, Jennifer. Debbie arrived late due the conflicting time with PTO meeting.

The minutes were approved for October.

Reports:

Jill had not arrived yet so the Treasurer’s report was passed over.

Virginia G Reported that she had received some correspondence over the past month. The group had received membership information from Washington Library Association and DOVIA, a professional organization at the Volunteer Center. She also received a thank you from Brandi Tevlin for the sponsorship the group had given her. The best piece of mail was the letter from the IRS confirming the 501 (c) (3) status. Virginia reported on a few ideas that came from the Friends Forum in Spokane. She provided handouts about dealing with the media and shared the Whitman County Friends’ newsletter and membership form. She also shared about a company that will buy books from the Friends and sell them online. Virginia sent out personal letters to some community members seeking membership for the group. There were two renewals and 3 new members for the month. The member count is 31 with 6 of them being family memberships.

Jill arrived and gave her report. Her most current balance is $8,231.12. She is going to switch over the passbook savings account to the preferred checking tomorrow. The group encouraged her to have an online account and space for two signatures on the checks.

Laura gave a report on the senior project. She has had one call for transportation on the 21st and Jenny is willing to help. She has made up business cards with her number on them.

The annual meeting committee handed out a tentative agenda and a list of needs. The meeting will be from 2-3 pm and the 10 Year Celebration will be from 3-5. Virginia G. will take on advertisements and she passed around an invitation. She was looking to have photos printed from the front of the card but found it expensive. Laura suggested calling Skip Navakovich to see if we could get the invitations printed. Jennie volunteered for setup and breakdown. Virginia said she could help since she would be working and she would make sure the library was decorated. After much discussion Laura said she would head the donation drive as long as she had help. Jill volunteered to help her. Virginia volunteered to make certificates. Jill is willing to work on entertainment. It was mentioned that Grey Wolf may be interested since they came to the patron appreciation day. The school also has an ensemble. Jennie said she was thinking of asking teachers if any of their classes had something rehearsed already, the more the merrier. Kim said she would coordinate food but asked all members to bring finger foods. Virginia is working on the two speakers. They will be Joy and either Punkey or Brent, Board Chair. It was mentioned that Don is a good MC, Virginia G. will look into it. After much discussion the closing of the silent Auction was moved to 4:30 so people could have one more opportunity to bid. Punkey said it was fine to have the items on display at the library during the week. Donations need to be turned in by December 2nd. The bidding will be open on the following Monday. Jill is willing to help announce door prizes as well as the auction results. The group wants to get a small live tree as a door prize.

Unfinished Business

Virginia reported that windows were washed by the senior class. They tried to get the hard water stains off with no success. The group decided that they would give the group the $250 that was precious discussed.

Virginia asked if the deadline could be extended for the book mark contest since not many were returned. The group decided that this was fine since they were not going to announce the winner until the annual meeting and the printer did not need too much time. The deadline will be extended to November 27th.

New Business

The floor was opened for nominations. Laura recommended that the Friends look into amending their bylaws to allow for a liaison to the school and have Debbie be that person if she is interested. Debbie said that is something she would consider. The group thought it would be a good idea to have one person who would communicate with the school. Virginia nominated Kim for president and it was seconded. Kim asked the officers present if any of them would like to give up their position. Jill said she would like to continue on as treasurer. Virginia said she would like to get out of the conflict of being staff and secretary. She would be willing to share the duties. It was stated that Jennie would be good for the role to help between the secretary and treasurer. Jennie said she would think about it. She was nominated for secretary and it was seconded. Virginia nominated Betty for vice president. It was mentioned that on the ballots, that will be in the invitations to the members, that on the back there be a list of the members to aid in the nomination process.

The annual meeting committee brought up that they would like a projector so they could have a slide show. Virginia had Josh get some quotes which ranged in price from $600-$1200. It was also suggested that they could rent one from Pasco Rentals.

Punkey had let the group know that if they dedicated the funds from the silent auction to purchasing new chairs for the library that the district would match the funds raised. Jill moved that the silent auction funds go towards chairs since the district would match funds. It was seconded and passed.

Laura suggested that we make the live tree into a donation tree with different dollar amounts like an angel tree. The group thought this was a good idea.

Jill made a motion to give the District money for the projector to not exceed $1000 including taxes and shipping. It was seconded and passed.

Kim asked the group to stay in contact over the next few weeks. Virginia urged all members to use the blog to facilitate the communication.

The meeting was adjourned at 8:27 PM.

Donations for the Silent Auction

We are asking that all Friends try to get at least one item donated for the auction. If you are going to approach a business please let Laura know so that none of us double ask. It would also be helpful that once you recieve something add a comment to this post so we have an idea of what we have. The items need to be at the libray by the 2nd so we can set up the items for preview. If someone would like to just donate money we can use the money to purchase an item or it could just go into the fund for the chairs. Ask them what they would prefer. The money raised from the auction will be matched by the District and will be used to purchase chairs for the library.

Chairs at the Burbank Library

The chairs at the Burbank Library are pretty sad. Some of them are hand-me-downs from various businesses and some were purchased more than 20 years ago. It would be great if the Friends would consider a fund raiser for a few new chairs. The Rural Library District would gladly match any funds the Friends are able to raise for this project. Thanks for your consideration of the "chair renewal project."

Meeting Minutes

Meeting Called to Order at 7:00 PM

Members Present: Jill Bolliger, Kim Dotta, Virginia Gutierrez, Gloria Meloy, Laura Schmidt, Betty Shackett, Jennifer Tevlin. Maria Montalvo and Debbie Williams arrived late due the conflicting time with PTO meeting. Guests included Kandyce Dexter and Mr. Dexter.

The minutes were approved for September.

Reports:

The Annual Meeting Committee did not meet so there was nothing new to report. Members who were not at the last meeting were briefed about the idea of the annual meeting.

Betty gave a report on the author visits. Both went well and had a good number of patrons attending. The Friends made about $35 on the book sale, not all have been purchased yet and the ones for the second author are on back order.

Virginia S. and Rich were unable to report on the open house so Virginia G. reported that the handed out calendars there but only one new card was given out because they stopped at the table.

Jill reported that she had not made it to the bank yet but was going the next day to get the papers for the checking account.

Virginia G. reported that the registration forms needed to be turned in for the Volunteer Center as well as time sheets each month.

Unfinished Business:

After much discussion the group established the Grants committee that would be headed by Virginia G. The Program and Events committee would be headed by Kim, Betty and Jennie since they were already planning for the annual meeting. This committee will have a bilingual program subcommittee. The group would like Maria to head it. The Membership committee will be headed by Virginia G. and will include publicity. The final committee will be Fundraising and will be headed by Jill.

The group discussed changing the meeting time because of the PTO conflict and decided to table further discussion until January when the groups meet jointly.

The senior class turned in a letter of interest regarding washing the windows. An announcement was faxed to the high school counselor regarding the issue. The group agreed that the job should be given to the students under the guidelines of the previous agreement with the boy scouts.

New Business

The Friends agreed that they would like to sponsor a children’s book week bookmark contest. The winning bookmarks will be printed up and then distributed after Thanksgiving. It was suggested that the winners should be added to the website as well. Betty was able to get a quote for printing.

Elections will take place at the December meeting. Ballots will be sent to all members before hand in the mail. Nominations will be taken at the November meeting.

Program

Kandyce Dexter shared with the group her knowledge of the senior needs in the community. After much discussion Laura volunteered to be the spoke in a wheel that would help gather needs and then pass them onto the group. Laura is going to make up business cards with her contact information. She is also going to attend a senior lunch to speak with the seniors there. The lunches are at 11:30 am on Tuesday and Wednesday. Virginia G. is going to double check with the Volunteer Center to see if the insurance will cover the transporting of passengers. The group also discussed what activities the library could offer for the seniors. Virginia G. will talk with Suzy at the Hungry Horse to help get the word out about the Friends plans.

Announcements:

Jill will bring refreshments for the next meeting.

The group was signed up for Trunk or Treat at the school. The group decided they would like to participate. Virginia and Kim will be there at 4:30 pm on the 28th to set up. Virginia G. will work on getting others involved. Friends can donate candy by dropping it of at the elementary school.

Meeting Minutes

Meeting Called to Order at 7:00 PM

Members Present: Kim, Virginia, Virginia, Betty, Virginia and Jenifer. Maria and Debbie arrived late due to conflict with PTO.

Minutes from August were approved. Virginia G. will email them out as well as post them to the blog.

Officer Reports:
There was no treasurer’s report due to it being Jill’s daughter’s birthday.

Virginia G. reported that there are 26 members.

Old Business:
Virginia G. has the information for the IRS ready to go. She is waiting on the year to date statement from Jill and then she will mail it.

Good Search was tabled since Debbie was not present.

Jennie reported that Brandy did very well at the pageant. Other girls brought extra books as well. She gained experience and would like to do it again next year.

Discussion on the checking account was tabled due to Jill and Debbie’s absences.

Virginia G. reported that the Volunteer Tea was a great success. The only regret was to not have a camera because it looked very good. There is interest in meeting again so stay tuned.

Virginia G. shared with the group that a Memo of Understanding was signed at the Tea. The Friends are now a registered agency with the Volunteer Center. This means lots of things but the most important benefit is insurance for the volunteer as long as they are registered and volunteering. All Friends need to register and then keep track of their hours. There are forms at the entrance to the Library in the black information rack. Hours need to be reported quarterly and they will be turned in to Virginia G. and she will submit them to the center.

New Business:
The group discussed having events for the ten year anniversary of the building in December and 30 years of service in 2007. The group decided that the Annual Meeting in December would be great time to showcase the library. Betty, Jennie and Kim will co-chair the planning committee.

Virginia G. and Maria are signed up to go to the Friends Forum in Spokane on October 21st. Everyone else will get back to Virginia G. to let her know if they are able to attend. Virginia also explained the new check request and reimbursements forms that were created to facilitate these actions.

Virginia S. will sell the books for Jan Underwood on the 28th. Maria will bring the cookies she has left over from the Tea. On October 4th Betty will take the money and make refreshments for author Thelma Tebeck Ritchie.

Debbie had asked the Friends to consider changing the meeting time since the PTO meets on the same evening. The Friends decided that they would not change the time. They are sad that it is a conflict but unwilling to change at this time.

Establishment of committees has been tabled a couple of times so the group decided that we do need a programming, fundraising and membership committee. These committees would be headed by an officer. Fundraising is Treasurer and Membership is Secretary. The monthly meeting should consist more of reports than discussion of these type of issues.

Debbie and Maria came so the group discussed the banking issue. Yakima Federal does have a preferred checking account that gives 3% on amount over $5,000. Debbie thought this was better than what Hapo had to offer. The group decided that this was a good idea.

The group re-discussed the meeting time and asked Debbie if she could let the PTO know that the Friends would like to meet at the school in January and maybe we could hold a dual meeting.

Virginia G. gave the GoodSearch info to Debbie to take care of .

The open house at the elementary school is on Monday the 18th. Virginia S. said that she would check her calendar but that she thought that she would be able to man a table for the Library and the Friends. Virginia G. and her will work out the details.

Good Search is up and Running

This morning I added the Friends' Good Search links to the library website, on the main page, and on the Burbank Library page. I also created a basic "How To" page. And I gave you your first 2 cents!

Next week I will install the Good Search toolbar on all of the public computers in Burbank and we'll see what that 2 cents turns into ...

Friends Forum in Spokane

Author Visits to be a Fundraiser for the FRIENDS

The library will be hosting two author visits in the coming months. Jan Underwood, Dayshift Werewolf, $11.95, will be coming September 28th. Thelma Ritchie, Columbia High graduate, will be coming October 4th. Her two books are Terra Nova: Settling the Red Planet, $16.95. and Terra Nova: Expanding Red Planet Horizons, $19.95. The Library will order the books and the Friends can sell them the night of the talks. The Friends would make 40% profit. It would work best if we could kind of do a presale to see how many we need to order. They are returnable. If you would like to purchase any of the books let me know. Please get the word out about the visits as well.

Volunteer Tea A SUCCESS

The Burbank Community Tea was a success.

We had 20 individuals participate. They were representatives of Community Churches, Columbia High ASB, Parents, Community Members, Junior Miss, Teachers, School District Employees, Students, Grand Parents, Librarians, and Library Friends.

The attendees currently volunteer by making goodies, helping with landscaping, decorating, leading youth, recruiting, doing all the little extra jobs that come up, serve seniors, cooking, working with ESL students and wildlife, through 4-H, school, sitting on boards, and volunteering with parents and students.

How can we instill the value of Volunteerism in Burbank and sustain it?

Have your organization or group clearly state your goals and mission.
Have a mission.
Have a float in the parade in October.
Have events.
Network with others.
Make and post signs or utilize the reader boards in the community.
Have group shirts.
Create a community newsletter for getting the information out.
Use email or create a Myspace site or blog.
Get the children involved so they can see us modeling volunteerism.
Start new events in Burbank and collaborate with others to make it happen.

What are ways that we can collaborate to share resources?

Exchange information.
Promote the Volunteer Center.
Ask what you can do or what is going on.
Create a directory of groups and organizations in Burbank.

A theme that ran through the afternoon was that people must ask what is going on around the community since there is not a central way of disseminating information. One example was of a parent who is under the impression that nothing is happening at the school because her child says there is nothing going on. Parents must ask for themselves to find out where they are needed at the school.

When there are community events there is usually poor attendance so people must not assume that others are attending. Sometimes a person does not need to show up early to help out or stay late to clean up. They just need to attend the event, pay a couple of dollars for the hot dog and stay positive.

Meeting Minutes

Meeting Called to Order at 7:05 PM

The minutes were approved from the last meeting. They were posted on the blog. Please let Virginia G. know if you do not know how to access the blog.

Reports from Officers-
Secretary reported that she had received a thank you from the Library for the summer reading support. She also received a request for support from Brandi Tevlin. There has been one new member since last month. The membership contest stands at Virginia G. 2-Laura 1. The address change notice has been mailed to the bank.
Jill was unable to make the meeting so Virginia G. reported that the United Way check came in.

Unfinished Business-
Since Betty was out of town Virginia G. reported that the cheapest for coping fliers would be at Budget and it would be around $160 for 2,000. Kinkos and B&B were higher. Colored ink was around $1 per copy - way to expensive. At Postnet they would do the coping and bulk mailing for $752.65. The postage would be $282.75 of that total. The group discussed the pros and cons of doing a bulk mailing. Debbie shared that as long as the information supported the school then they could include a flier with the District Newsletter. They would need to help stuff them however. This may be the best option if the Friends want the flier to get out to everyone rather than just those that we know or come to the Library. The Friends are able to use the Library copier as long as it benefits the Library so they will continue to make up fliers as needed until a decision is made about the newsletter. The group can also check into advertising with local media outlets including the NickelNic.

Virginia G. has not heard back from the IRS. It may be more like 6 months before we hear anything. Virginia will continue to contact them.

The current members need to keep handing out fliers. The group discussed what they have been doing to recruit and what helps. Hopefully the volunteer training will give some new ideas.

Rich addressed the group about the book club. The first meeting will be on August 15th at 7 PM. Carlotta is coming from the Touchet Library and will help facilitate. There may be enough for 2 groups. One in the afternoon and one in the evening. It was suggested that maybe some of the Friends credit at the Bookworm be used to make sure everyone has a copy. The group agreed that this was a good idea.

Virginia G. gave everyone an outline for the Tea. Jenny is going to help set up. Virginia G. will do the check in. Kim and Jenny are going to drop of their tea set s to be used. Virginia G. will try to get bottled water donated but if she is unable to do then she can purchase bottle water, cream, sugar and spoons. Maria is going to try to get cookies donated. There are table covers and the paper factory and Betty was going to look on the west side. Jennie said she could look at the $ Store. Debbie is going to take care of the 6 center pieces. If anyone has trays or tea cups bring them to the Library by Monday. There are 16 people registered so far. A mailing list was handed out and people committed themselves to contacting someone on the list. The Volunteer Center would like the Friends to become a part of their association. The Friends agreed that this would be a good benefit.

Debbie said the school has made $3 this summer on GoodSearch. She said she can stop by on a Wednesday to meet with Josh to set up the Friends account.

Discussion of the 10 year anniversary was Tabled.

On October 21 there will be a Friends Forum in Spokane. The group decided that it would be good to attend. The Friends agreed that if someone was unable to pay for their own way then the Friends would pay the registration of $50. Virginia G. will email everyone the registration when it comes out.

Committees was Tabled.

Brandi Tevlin made a request for sponsorship for a pageant in Seattle. She has to meet a second deadline of $190 by September 1st. The group decided that they would like to make a donation of $50. They also discussed that we set this as a limit or consideration when other youth or groups make a request. Since part of Brandi’s service project for the pageant includes donating books the Friends would also like to make a donation of books.

Jenny will bring refreshments fro the September 12th meeting.

Volunteer Training

I just wanted to give everyone an update on the volunteer training. I met with Joyce from the BF Volunteer Center this week and we hammered out the details. The afternoon is going to start off with a focus on self, and then Joyce is going to share what an organization needs to recruit and support volunteers. We will then have discussions on sustainability of volunteerism and leadership in the community. We already have 8 people registered, including the Superintendent! Please get the word out about this wonderful opportunity. Let all know that this is not a recruitment meeting, it is so that they can learn to recruit and support their own volunteers better. There have been over 60 fliers mailed out. Please stop by the Library and pick up some more to take to churches or other meetings. They have been posted all over town as well.

Good Search Info

Virginia G. asked me to look into GoodSearch to see what it is all about. After researching it, it looks very feasible and easy to set up. It was set up by Yahoo! so if you prefer their search engine, you'll enjoy searching this way.

From their main site, www.goodsearch.com, you may search for registered charities. You can enter things like "library" or "burbank" and it will bring up any organization that matches. Once you have chosen your charity, you can go ahead and search for something which gives that charity one penny. Every search raises one penny for the organization, so you would need quite a lot of searches to get a good return. (1,000 searches amounts to $10, etc.) Once you select a charity, you may also click on the "Amount Raised" button and see how much they have made so far.

The registration form is pretty simple with only a few things to decide like whose name should the account be under, where do the checks get mailed, etc. They also need the Tax ID Number for the Friends Group. If the group wants to go ahead and register for it, I would only need to know some of the information after you are registered to be able to set up links to the search page on our website.

Friends Meeting

Hello everyone! Just wanted to say thank you to all of you who were able to make it last night to our meeting. I think we got a lot accomplished. I am looking forward to seeing us grow as a group and as individuals within the group. I like to hear everybody's thoughts and ideas! Start thinking of who you would like to invite to our next event/meeting. I don't know about you, but I'd love to go to a nice dinner!
